Job Description

EgyBell is hiring Administrative Assistant – Treasury/Markets for a multinational financial organization.

Main Responsibilities

Travel administration
–    Coordinate travel activity for the department and various incoming treasury delegations in accordance with the Bank’s travel policy.
–    Assist MD-TRMA in preparing and submitting the travel and other business expenses i.e., petty cash, refund claims etc.

Meeting and conference calls
–    Producing, team-meeting deliberations minutes
–    Organize conference calls related to the treasury department activities
–    Receives and coordinate inquiries on behalf of the treasury department as may be required

Invoice administration
–    Prepares invoices for departmental activities following the Bank’s procurement guidelines
–    Tracking department expenses

Filling administration
–    Implement and maintain a standardized filing, indexing, archiving and document management system
–    Scanning all back-up documents and uploading them to specific deals in the system

Administration of Credit Card
–    Assist D-TRMA in preparing and submitting credit card forms
–    Manage the use of the treasury department credit card
–    Manage the credit card procurement process for the bank

Events administration
–    Prepares invitation letters for treasury relationships banks
–    Champion the hosting of all treasury visitors
–    Coordinate logistics of events, meetings, conferences, cocktails, lunches, dinners etc
–    Champion travel arrangements, accommodation, catering, airport transfers and informing concerned staff for all treasury related activities

Other administration tasks
–    Support the department team with administrative and clerical tasks as may be required
–    Handle all courier related tasks
–    Manage and handle the department’s leave/absence plan
–    Manage the supply of stationary
–    And any other duties as may be assigned to the jobholder by the senior management from time to time.

Compliance Responsibilities
●    Understand and adhere to the Bank’s AML, Regulatory and Conduct Compliance policies and procedures, notably;
–      Staff Handbook (has code of conduct provisions)
–      Anti-Money Laundering (AML)
–      Conflicts of Interest and Policies on Staff Involvement in External Engagements/Activities
–      Anti-Bribery & Corruption
–      Insider Trading Guidelines

Qualifications:
• Bachelor’s Degree in a related field.
• Minimum of 3 years of experience in a related area.
• Excellent English level (spoken & written).
• Excellent computer skills especially in MS Word, Excel and PowerPoint.
• Proficiency in use of treasury and risk management systems
• Ability to communicate and function in a culturally diverse, change-oriented setting
